We are actively seeking a Operations Administrator  for our Hopkins, Minnesota location. Description of Duties:

  • Provide coverage for front desk reception
  • Greet all visitors as they arrive at the facility
  • Answer main phone lines in a professional and courteous manner
  • Forward incoming calls to the appropriate persons or department
  • Provide Executive support to all departments as needed
  • Ensure office supplies is stocked and maintenance of all general office equipment
  • Distribution of incoming mail, shipments and faxes to the appropriate person or department
  • Prepare outgoing mail
  • Ensure electronic communication board is updated as required
  • Order lunches as needed
  • Responsible for administering employee ID badges
  • Maintenance and distribution of internal phone list
  • Work with HR Manager to perform various administrative functions
  • Provide daily/weekly reports to Executive Team
  • Lead company event planning and corporate charities
  • Provide travel assistance for the Exec VP Finance and backup for other key roles
  • Coordinate various marketing activities for trade shows and other meetings.
  • Control & record DW quote activity for Thermotech
  • Update Sales Customer Contacts information
  • Provide content and information for web site upgrades
  • Coordinate miscellaneous requests from customers and suppliers including surveys and other data.
  • Schedule meetings, provide filing and other assistance to Exec VP Finance
  • Assist in conducting employee meetings and other employee events
  • Prepare various reports, populate information in Excel, Epicor, and BOS systems
  • Maintain Administration and Company level files
  • Review monthly company cell phone & credit card programs and retrieve user information as needed
  • Assist in any way to any employee
  • Promote an atmosphere of team work at all times
  • Ensure that a clean and safe work environment is always maintained
  • Complete other duties as assigned

High school education or GED with Administrative background.

Minimum of three-year office experience assisting senior level managers and public contact and ability to handle multiple tasks at one time is required.
